About MySecureSend

MySecureSend started with something we kept seeing over and over again. Businesses handling sensitive information were still sending it as ordinary email attachments because there wasn’t a practical alternative that fit into the way people actually worked. Referrals, reports, contracts, financial records and settlement documents. They were all leaving through Gmail or Outlook, unencrypted, because anything more secure usually meant extra logins, portals or entirely different systems.

The problem wasn’t a lack of awareness. It was friction. Portals get ignored. New email platforms don’t get adopted. When people are busy, they default to the inbox that’s already open. That doesn’t make plain email the right choice for sensitive information. In fact, the OAIC’s own guidance recommends using additional security measures, such as password-protected or encrypted files, when sending sensitive personal information by email. This isn’t just our view. It’s the direction Australia’s privacy regulator has been giving organisations for years.

MySecureSend was built to fit into that reality instead of fighting it. Files are encrypted with AES-256 before they leave your inbox, and the decryption password is delivered separately through SMS, email or something only the recipient would know, such as their date of birth. The email still comes from your own Gmail or Outlook account. The workflow stays the same. The attachment is simply protected.

That same thinking carries through to the Outlook Add-in. Staff don’t need to open another application or learn a new process. They attach the file, click “Send Securely” and send the email as they normally would. Security becomes part of the workflow instead of another task to remember.

The product grew directly out of the work done at Dotline Infotech, a Sydney-based IT company that has spent years supporting Australian organisations, particularly medical practices using systems such as Best Practice, Genie and Medical Director. The same issue kept appearing well beyond healthcare. Legal firms, financial advisers and real estate agencies were facing exactly the same challenge. Sensitive information moved every day, but secure file sharing was rarely simple enough to become the default.

MySecureSend is the result. Not another platform to manage. Not another login to remember. Just a straightforward way to make the emails you’re already sending secure.
